At Just we’re recruiting for our future and we now have a fantastic opportunity available to join us as a Personal Assistant on a permanent basis located from our London office.
You will provide a professional efficient and timely assistant service to the Group Company Secretary on a one to one basis, acting as a liaison to the Board Directors and Senior Management teams in order to enhance the team’s effectiveness by providing information management support; representing the Company Secretariat to others.
You will review all incoming correspondence and action/delegate as appropriate ensuring that any delegated correspondence is actioned in a timely manner to optimise the Company Secretary’s time spent in the office; managing and controlling the Company Secretary’s diary and resolving any scheduling issues, including ensuring sufficient time to complete priorities.
You’ll provide quality and timely PA support assisting the Company Secretary with Board meeting administration including the coordination of the Board calendar and papers, checking work for accuracy and ensuring a high level of confidentiality where appropriate.
Furthermore you will provide administration and secretarial support to the Company Secretariat team as required dealing with document execution requests, maintenance of statutory and internal records and general record keeping and archiving for the team.
Working collaboratively with other team members, you will assist with organising shareholder, Board, Committee and other meetings as required - sourcing venues, controlling and monitoring the contracts and budgets, as required.
From time to time you’ll work independently on projects, from conception to completion, with discretion and maintaining confidentiality, preparing presentations and/or draft reports as required.
Finally you will act as the conduit for communication between the Company Secretary department and the wider internal teams and external client base, demonstrating leadership to maintain credibility, trust and support with senior management.
Skill we are looking for
•Educated to degree level or equivalent.
•Proven PA experience gained working at Senior Board level.
•Excellent IT skills including advanced Word, intermediate Excel, advanced PowerPoint.
•Provide excellent administrative, organisational and communication skills with the ability to plan and prioritise.
•Demonstrate strong interpersonal skills exercising discretion and diplomacy at all times.
•Ability to work on own initiative with a highly flexible attitude, whilst maintaining a high degree of confidentiality.
•Ability to work productively under pressure, whilst maintaining a calm and professional approach.
•Good time management and the ability to work flexibly to meet the needs of the business.
•Strong attention to detail.
