At Just we’re a business full of ambition and we now have a fantastic opportunity available to join us as a Company Secretarial Administrator on a permanent basis located from our London office.
You will provide a professional, efficient and timely admin service to the Group Company Secretary and Company Secretariat team, in order to enhance the team’s effectiveness by providing both high level general administrative support and company secretariat specific support.
Some of the core areas of this role are:
Board & Committee support - Organise, schedule and event manage Board/Committee meetings and ad-hoc events and assist by collating, printing & distributing board and committee packs. You'll organise meeting minutes, provide assistance and help produce required documentation.
Company Secretarial administrative support - Support the CoSec team in updating & populating Board meeting spreadsheets, organising & managing CoSec team folders, inboxes & calendars. Furthermore you'll provide general administrative support such as maintaining regular and project insider lists, maintaining statutory filings (companies house) including using Blueprint & monitoring compliance deadlines. Finally you will assist in completing ad-hoc forms, preparing certified extracts of minutes, locating minutes and other documentation as required.
Event & diary management - Manage all aspects of events including Shareholder meetings & strategy away days.
Personal administrative support - Provide personal admin support including support to our Non-Executive Directors, for example managing expenses, providing assistance to NED's/Senior Executives regarding routine queries, organising meetings, diary management.
Invoice management - Provide assistance with invoices & expenses payments including liaising with the Finance department regarding payment processing.
Legal team support - Provide general administrative support to the Legal team.

Skill we are looking for
Educated to degree level or equivalent
ICSA Certificate in Company Secretarial Practises to be taken, ideally within 12 months
Experience within a professional services environment
Excellent IT skills including advanced Word, intermediate Excel, advanced PowerPoint
Provide excellent administrative, organisational and communication skills with the ability to plan and priorities
Demonstrate strong interpersonal skills exercising discretion and diplomacy at all times
Ability to work on own initiative with a highly flexible attitude, whilst maintaining a high degree of confidentiality
Ability to work productively under pressure, whilst maintaining a calm and professional approach
Good time management and the ability to work flexibly to meet the needs of the business
Strong attention to detail
